Japan's Secret to Cleanliness and Efficiency

We can relate that clutter and disorganization in workplaces can lead to time loss, increased stress, and low productivity. It can be the same in our homes.

I will introduce you to 5S, a Japanese workplace organization system rooted in the Toyota Production System. This system transforms chaotic spaces into a highly efficient, safe, and pleasant environment. The basic idea of 5S is keeping things clean and in order. 

I have learned, experienced, and practiced this system firsthand while working at a Japanese Automotive Wiring Harness company. 


The 5 Concepts of 5S (The "S" Words)

5S comprises the Japanese words Seiri, Seiton, Seiso, Seiketsu, and Shitsuke. 

  • Seiri (Sort) - Clearing up and separating needed items from unnecessary ones, and removing or disposing of the clutter.
  • Seiton (Set in Order) - Arranging essential items systematically (e.g., using labels, color codes, functional storage, or designated places) so they are easy to find, use, and return, further eliminating the need to look for things.
  • Seiso (Shine) - Perform cleansing and polishing of specific machinery or equipment, and a thorough cleaning of the workspace to maintain a tidy and safe environment.
  • Seiketsu (Standardize) - Create schedules, checklists, 5S calendars, and rules to formalize the first 3 steps and ensure consistency.
  • Shitsuke (Sustain) - Foster discipline and self-management so that following the 5S steps becomes a daily habit. 


Objectives of 5S:

  • Know the importance of 5S in the workplace.
  • Visualize what 5S is all about.
  • Determine your responsibilities in doing 5S.
  • Identify all the items that need countermeasures.


Step-by-Step Implementation Guide:

Here are actionable steps to help you start applying the 5S system:

  • Phase 1: Preparation - Assess the current state of the workspace and train your team on 5S.
  • Phase 2: Execution - Work through the first 3S's (Seiri, Seiton, Seiso): Sort, Set in Order, and Shine. 
  • Phase 3: Systemization - Develop checklists and daily routines to standardize. 
  • Phase 4: Long-Term Maintenance - Conduct regular audits to ensure the team sustains the new habits.
